2010-2011 ROSCO Volunteer Committee Descriptions
Commitment Level - Year-Long:
Beautification
Help with outside school beautification projects on an as-needed basis. This could include weeding gardens, purchasing and/or assembling planters, helping with signage and/or other things to make the outside of school look inviting.
Caring Closet
In conjunction with the school Guidance Counselor, coordinate and execute a plan for donations of gently used clothing to keep on hand for various student needs. Some of these uses include: when students get wet outside in the spring, have accidents, or need extra winter clothing.
Dining Out Nights
Work with an area restaurant to coordinate a designated evening each month where Royal Oaks families can purchase dinner and part of the proceeds is returned to ROSCO. Provide reminders to families of the designated evening and how to order to get credit for Royal Oaks.
Educational Programs/Lyceums
Research, schedule and coordinate educational programs to be held either at school or another location (field trip) throughout the school year. These programs are educational yet fun for the students.
Free Money
Collect Box Tops for Education labels, Tyson labels, Milk Moola caps, Kwik Trip labels and ink cartridges that are turned in and mail to appropriate company. Coordinate contests as necessary.
Friday Folders
Coordinate volunteers to assemble weekly folders with school communications on Friday mornings that children take home.
Market Day
Work with Market Day representative to coordinate Royal Oak's order date and pick up date. Distribute Market Day brochures via Friday folders, help place orders and secure volunteers to help with sorting food items and distribution of orders on pick up days.
Parent Volunteer Coordinator
Serve as a resource for committee chair people when they need additional volunteers. Maintain master list of willing volunteers and contact them via email or phone to help as needed.
Rocket Wear
Work with a local vendor to create a selection of Royal Oaks branded clothing that can be sold to families to demonstrate their school spirit. Offer items for sale several times throughout the year and at school events. Coordinate inquiries or sales that come through the website. Coordinate a contest for a new design.
Scholastic Book Orders
In conjunction with grade level teachers, distribute Scholastic order forms to all students. Collect on due dates, enter orders and distribute items upon arrival.
Spirit Night
Coordinate a free or discounted event at a location or at school to give families a chance to socialize. Events may occur monthly unless another event is scheduled.
Website
Using the School District website and guidelines, maintain ROSCO’s website.
Wish Lists
Contact teachers for a list of their classroom needs. Communicate the needs to families and coordinate the donation of items.
Yearbook
Work with photographer to coordinate and create a yearbook to be distributed prior to the end of the school year. Advertise and coordinate yearbook purchases and work with teachers to ensure that students that are unable to purchase yearbooks are provided one.
Commitment Level - Fall Only:
Teacher Welcome Back
Commitment: August
Provide refreshments and morning treats for Teachers/Staff on their first full day back at school.
Parent Welcome (aka Boo-Hoo / Ya-Hoo!)
Commitment: September
Coordinate a small reception to be held at school the very first morning that students return. Provide coffee / beverages and morning treats and a place for parents to gather to meet other parents for consolation or celebration.
Ice Cream Social
Commitment: September
Coordinate the ice cream and beverages to be served the evening of Royal Oaks' Open House. Work with local ice cream vendor to secure the best deal on ice cream. Serve the ice cream and beverages. Collect donations at event to pay for expenses.
School Directory
Commitment: September
Responsible for production of the annual school directory of names, addresses, phone numbers and e-mail addresses for students and families, along with other important school information. Collect contact data from families, lay out the pages and copy and coordinate printing.
Fall Fundraiser
Commitment: Fall
Coordinate a Fundraising program for the fall. Coordinate communication of the fund raising information and execution of the fund raising activities.
New Family Welcome Dinner
Commitment: Fall
Work with the school Guidance Counselor and Principal to coordinate a welcome dinner for all new families to Royal Oaks School. Purchase all dinner items, cook (if needed) and serve the meal.
Commitment Level - Spring Only:
Family Fun Night
Commitment: Spring – Every Other Year (even years)
Coordinate a fun family event that entails games/activities and food. This event is organized into several committees to handle various aspects of the event.
Staff Appreciation Luncheon
Commitment: Spring
Provide a great lunch for the school staff during Teacher Appreciation Week. Recognize Teacher Appreciation Week by coming up with daily drawings / give aways and/or mailbox stuffers or other ways to show teacher appreciation throughout the week.
School Packs
Commitment: April
Work with teachers to update school supply lists. Work with a school supply company in obtaining required items pre-packaged for students; coordinate distribution of order information via Friday folders and coordinate distribution of School Packs when delivered to school. The selling of school supplies is a service provided by ROSCO in an effort to take the hassle out of shopping by parents. This service is offered at the end of each year to purchase the supplies for the next year.
Kindergarten Music Program
Commitment: May (so they can wear in June)
Provide and serve treats and refreshments for kindergarten students and their families after the Kindergarten Music Program.
5th Grade T-Shirts
Commitment: May
Coordinate the purchase of Royal Oaks T-shirts that are different than the Rocket Wear for all 5th graders (to set them apart from the rest of the school with everyone's signatures on the back).
5th Grade Gift
Commitment: June
Coordinate a gift idea that is presented to each of the 5th graders prior to their graduation from Royal Oaks.
5th Grade Kickball Popsicles
Commitment: June
Provide popsicles during the 5th grade/Teacher kickball game.
5th Grade Party
Commitment: June
Order cake, coordinate beverages, purchase and set up decorations for the party scheduled on the last day of school. Serve items and clean up after.
Commitment Level - Periodic Fall & Spring:
School Pictures
Commitment: September and Spring
Be available the day of school photos to assist the photographer with any needs, coordinate classroom arrival to photo session, and assist students (combing hair, straightening cloths, etc.) as necessary.
Testing Day Snacks
Commitment: MAP testing - September / May; WKCE testing - October / November
Purchase healthy snacks for students and deliver them to school at the appropriate testing times. Assist with serving and clean-up.
Conference Day Lunch
Commitment: November / March or April
Coordinate a lunch for all teachers the day of parent conferences. Create a list of food items and solicit families to provide food items for teachers. Set up and clean up.
Commitment Level - Periodic As Needed:
Playground
In conjunction with the Principal, determine opportunities for improvements to the playground. Make recommendations to the ROSCO board if changes require funding beyond what the Sun Prairie School District provides.
ROSCO BOARD OF DIRECTORS– 2 year terms
President - Serves as main contact between ROSCO and principal. Creates meeting agendas, runs the monthly meeting and writes monthly newsletter to be distributed to all families. Elected in May of even numbered years for the following school year.
Vice President – Responsible for committee binders and recruiting volunteers to sign up. Coordinates childcare during ROSCO meetings. Sends thank you notes to committee members. Provides any committee updates at monthly meetings. Assists the President as needed. Elected in May of even numbered years for the following school year.
Secretary – Maintains ROSCO member email list. Takes minutes at monthly meetings and sends to all members via email. Coordinates school board representative to attend ROSCO meetings. Provides any updates at monthly meetings and sends updates/or volunteer opportunities via email as requested by committee members. Elected in May of odd numbered years for the following school year.
Treasurer - Responsible for all financial transactions. Maintains the checkbook (makes deposits and writes checks). Provides a financial report monthly. Coordinates yearly tax preparation with an accountant. Purchases gift cards for meetings. Elected in May of odd numbered years for the following school year.
